TSC Software Audits
A software audit is conducted when there is reason to believe that the application is not being used effectively. Our trained and experienced TSC staff auditors will review the installation of the selected package(s) and interview staff working in the modules to determine what is being used effectively and what changes would improve the operation of the system. The final result of the audit is a report to the managers of the application area, tips to the staff members, and recommendations for changes, further training, or enhancements. The report can be presented informally or as a formal written report.
The following details the steps involved to conduct an audit of a specific system. The assessment of options in use and the report are usually conducted remotely from TSC’s offices. The interview process and review of findings are always done at the customer’s site. The range of time reflects the variation in the size of the system and options available.
ASSESS THE OPTIONS IN USE
- Review each profile to determine what options are selected for use.
- Review databases for possible options not implemented.
- Check to see if all optional functions are licensed and active.
This assessment is documented for discussion with staff that use the application.
INTERVIEW STAFF MEMBERS WHO OPERATE THE SYSTEMS
- The auditor reviews the steps required to do the job. This review gives the auditor the opportunity to determine if the application of some options would simplify their processes.
- The auditor will ask the staff member to define their solution that would solve the problems they face in applying the application. This will further aid the auditor in determining whether other options or a change in the use of some functions of the system can improve the implementation. This process may identify if enhancements or new features are required.
- During the interview process the auditor will suggest options which might solve problems or improve the speed of operation.
PREPARE REPORT: (TWO OPTIONS)
Option 1 Provides the manager with the brief notes taken by the auditor during the interviews as well as a review of the options in use for the application. The time is spent meeting with the manager to share the information obtained.
Option 2 Provides a detailed written report describing the auditor's findings and recommendations. The auditor can at the option of the manager, meet with them to discuss their findings prior to preparing the report.
